When a leading Healthcare organisation tendered the outsourcing of the internal mail via a Hybrid Mail solution, they were looking for a company who would not only achieve expected cost saving and efficiencies but actually exceed them.

PHD had a remit to drastically reduce the printing and mailing of internal documentation from the healthcare’s UK national located sites with a sites with a rationale to:

    • Reduce stationery costs
    • Reduce printer maintenance costs
    • Reduce postage costs
    • Increase internal labour efficiency

The Category Manager who was head of the outsourcing tender for the Healthcare organisation said:

“PHD Mail was chosen as the preferred supplier of Hybrid Mail as their solution was the absolute fit for our infrastructure, plus their cost model and solution integration has been driven by a comprehensive project plan administered by qualified PHD Prince 2 Project Managers and Training Staff. The deployment of the service to our 66 hospitals and Shared Service sites is underway. The feedback from our centres is one of praise for the on-going customer care from PHD in the efforts to improve our outgoing mail process by using the Hybrid Mail service. We are exceedingly satisfied with the service so far, PHD’s Hybrid Mail solution is working very well”

Northgate Public Services has chosen local Burton firm PHD Mail to support its partnership work with South Derbyshire District Council where the authority wants to cut costs not services.

As part of its work for the Council, Northgate Public Services has taken over responsibility for sending out council tax bills.

Said Northgate’s Revenues and Benefits Manager Dave Shawley, ”We needed to find a distributor which could mail out 39,000 council tax bills, 6,000 benefit letters and 2,000 business rates notifications. By law we also had to put separate legal information in the letters to council taxpayers and to business ratepayers.”

“If possible we wanted to use a local business, but our major considerations had to be security for data protection reasons, reliability of delivery and good value.”

“No one likes getting bills but they would be even more unhappy if they were sent late or the details weren’t accurate.”

Northgate Public Services was able to find a local source with all the vital credentials in PHD Mail which is based at Falcon Close in Burton on Trent.

Said Kevin Dunn, PHD Mail’s Business Development Director, “The company has invested in new software, printers and envelope inserters, so our state of the art equipment was exactly what Northgate Public Services wanted in a supplier.”

As well as providing a trust-worthy and speedy service, PHD Mail followed the brief from Northgate Public Services exactly.

Dave Shawley explained, “We wanted a phased delivery of all our bills so that any enquiries could be handled easily alongside the customer services staff’s normal workload.

“PHD Mail has provided first class service. A local firm has taken a complex brief and then delivered the goods exactly as requested. I would recommend them to other organisations which need reliability and excellence.”
